Why good logistics are crucial for events at NEC Birmingham?

What you may notice from the above list of vents is that for many businesses, a date at the NEC is the pinnacle of the year as far as promotional events are concerned, and therefore that is not the time to take any unnecessary risks, especially if you have never been there before.

Being allocated event space at the NEC is a million miles away from having a stall at the local village fete. Instead of ten individual stalls, think more in terms of 1,000! For example, the Food & Drink Expo 2025 at the NEC had over 1,200 exhibitors. It was co-located with The Restaurant Show, Farm Shop & Deli Show, National Convenience Show, and The Forecourt Show, all part of the UK Food & Drink Shows and over 30,000 visitors attended the event. And why are we telling you all this?

Why good logistics are crucial for events at NEC Birmingham?

Because it isn’t just a case of turning up the day before the event and unloading everything out of the back of a van and setting up your stall, not when there are a thousand other exhibitors wanting to do the same. More to the point, the NEC is a massive venue and is in fact the UK’s largest event venue, offering over 186,000 square metres of covered indoor space across 20 interconnected halls and 34 conference suites. It also boasts 440 acres of flexible outdoor space, making it suitable for a wide range of events from small conferences to large exhibitions. So, with limited time to set up your stall, the last thing you are going to want is a two-hour trek as you try and find your allocated space.

📦 Distribusha Case Study: Exhibition Delivery for Vatech at the British Dental Conference & Dentistry Show

Client: Vatech UK
Event: British Dental Conference and Dentistry Show
Location: NEC Birmingham
Date: 16–17 May 2025
Service Provided: Exhibition Courier – Delivery, Setup Support, and Return of X-Ray Dental Machines

🏁 The Challenge

Vatech, a global leader in dental imaging systems, needed a logistics partner to manage the end-to-end handling of five X-ray dental machines for their stand at the British Dental Conference and Dentistry Show at NEC Birmingham.

These high-value machines required delicate handling and had to be delivered within a tight time window, rolled into the venue on custom-made skates (dollies), unpacked, and readied for installation. After the exhibition, the units needed to be repacked and returned safely to the warehouse — but with NEC weekend restrictions in place, the return had to happen during the following week.

🚛 Our Solution

Distribusha provided a specialist courier service built around Vatech’s technical and scheduling requirements:

  • Delivered five X-ray machines using a Luton van with a tail lift, allowing for safe and controlled loading and unloading of heavy, sensitive equipment.
  • Used tailor-made skates to roll equipment directly into the NEC without the need for lifting or tilting.
  • Assisted with unpacking and positioning, working in coordination with the Vatech team to ensure each unit was in place and ready for setup.
  • Returned to the venue after the show to repack and collect the machines, then delivered them back to Vatech’s warehouse during weekday hours due to restricted weekend access.

The Result

  • All five machines were delivered on time, handled with care, and positioned with no damage or delays.
  • Vatech’s stand was fully set up and operational ahead of schedule.
  • Post-show collection and return were executed efficiently, avoiding unnecessary delays or costs.
  • Distribusha demonstrated flexibility, attention to detail, and full understanding of the technical and logistical requirements of medical equipment transport.

💡 Key Takeaways

Exhibition logistics demand more than just transport — they require precision, timing, and hands-on support. This project highlights Distribusha’s expertise in delivering for technical and medical clients under real-world exhibition constraints, including:
